History & Transactions
Overview
History & Transactions is the ledger of your loyalty and sales activity — every receipt, every point earned or spent, every voucher, every credit top-up, recorded as its own transaction. In the sidebar it's the Transactions group.
This is the page the rest of the docs point you to when you need to verify what a member earned or spent. Points are calculated on Rewardly's server after payment, never on the POS screen — so the ledger here is the single source of truth.
Each record type does two jobs:
- It lists past activity — filterable, exportable, searchable by member.
- It lets you create one by hand — manual point adjustments, tier changes, voucher issuing, credit top-ups. That's how you fix or grant something outside a normal sale.
Verify earnings here, not at the till
Points are calculated after payment, never on the POS screen — verify them here under History & Transactions.
How it works
Every transaction record carries the same backbone: a member, an outlet, a date, an amount, and a void flag. Each record type also has a Void mirror — when you void a transaction, it disappears from the live list and reappears under Void transactions, so nothing is ever truly deleted.
The Transactions group holds nine record types:

You can also jump straight to a single member's history from their profile — the History row on a member profile deep-links into each of these lists, pre-filtered to that person.
Sales transactions
Open Transactions → Sales Transactions in the sidebar. This is one row per receipt.
Each row shows the outlet, the member (linked to their profile — guest rows are dimmed), the amount, the receipt number, and the date, plus two summary columns:

Filters: member, outlet, POS source, voucher type, voucher programs, and a date range. An empty list reads No Sales Transactions yet.
Bulk Void: select one or more rows and choose Void to reverse them in one action. Voided sales move to the Void transactions mirror.
A manual create flow exists too (gated by the userTransactions:create permission), but sales records are normally written by the POS — you rarely add one by hand.
Loyalty transactions
Open Transactions → Loyalty Transactions. This lists every point movement — earns, redemptions, and manual adjustments — with the member, outlet, membership, program, type, and amount.
Manual point adjustment
This is how you credit or debit a member's points by hand — to fix a missed earn, or to grant goodwill points.
- In the sidebar open Transactions → Loyalty Transactions, then click Create.
- Fill in:
- User — search and pick the member.
- Outlet — where the adjustment belongs.
- Receipt № — the receipt this relates to, if any.
- Type — the movement type (e.g.
reload). - Membership — (when Type is
reload) the member's tier, shown asname / L:level. - Loyalty program — (when Type is
reload) the loyalty program under that tier. - Amount — the number of points to add or remove.
- Save.
A red note on the form confirms it's showing the member's current membership and its loyalty program, so you credit the right balance.
Membership
Open Transactions → Membership. This lists each member's membership records — the member, the tier, active status, void flag, start/end/expire dates, joined date, and gender.
Manual tier assignment
Use this to put a member on a tier directly, or to change the tier they're on.
- In the sidebar open Transactions → Membership, then click Create.
- Fill in:
- User — search and pick the member.
- Membership — the tier to assign, shown as
name / L:level(active tiers only). - Start date — when the tier takes effect.
- Active — leave on so the tier applies now.
- Save. The member is now on that tier.
Auto-upgrade and skip-level still apply
Assigning a tier by hand doesn't switch off your tier-progression rules. Whether the tier sticks or the member is later moved up is governed by Auto-upgrade membership and Allow member to skip level — set per tier (with an override) or merchant-wide. See Membership & Tiers.
Loyalty master & Stamp master
These two lists are the per-member balance records, not the movement log.
- Transactions → Loyalty (
Loyalty master) — each member's current loyalty balance, expiry dates, void flags, and challenge/gift detail. - Transactions → Stamp (
Stamp master) — each member's stamp-card fill progress.
Both are deep-linked from the History row on a member's profile, so you can read one person's standing without scrolling the whole list. There's nothing to set up here — they update automatically as members earn and spend.
Cashback
Open Transactions → Cashback. This lists cashback issued to members: the member, outlet, cashback program, the POS amount, the percent, the cashback amount, expiry and start/end dates, the void flag, and a bill detail. It has a Void mirror. See Cashback for how cashback is earned in the first place.
Voucher transactions
Open Transactions → Voucher (titled Voucher transactions). This lists vouchers issued and redeemed — the issuer, the recipient, the voucher, the date, redeem status, and expiry/start dates. Voucher types show normalised labels (Free Item, Fixed Price Item, Free Modifier, Combo Lowest Price Item Free, and so on).
Opening a record in edit mode surfaces the voucher's code, type, Shopify discount code, dates, paid amount, amount, used and balance figures, the payment-linked discount-applied flag, the product, a voucher used toggle, and a link to the related sales transaction.
Manual voucher issuing
- In the sidebar open Transactions → Voucher, then click Create.
- Fill in:
- User (issuer) — the staff member or account issuing it.
- Outlet — where it's issued.
- Recipient — the member who receives the voucher.
- Voucher — the voucher program (Live vouchers only), shown with its image and a type/amount/sale subtitle.
- Phone number — optional.
- Description — for your records.
- Save.
Only works if the program allows it
Manual issuing is only meaningful for a voucher program that has Allow manual issuing turned on. If a voucher doesn't appear in the Voucher picker, switch that toggle on in the program first — see Vouchers.
Store Credit
Open Transactions → Store Credit. This lists store-credit movements — the member, outlet, paid amount, amount, type, void flag, expiry, conversion used, sale date, and description — each with a printable bill detail. It has a Void mirror.
Manual top-up
This is the manual store-credit top-up flow.
In the sidebar open Transactions → Store Credit, then click Create.
Fill in:
- User — search and pick the member.
- Outlet — where the top-up belongs.
- Type — the movement type (e.g.
reload).
For a reload, choose how to set the amount:
- Program Input — pick a Store Value Conversion, e.g.
Purchase $90 → Use $100. - Manual Input — enter a raw amount instead.
For other types, just enter an amount.
- Program Input — pick a Store Value Conversion, e.g.
Add a Description and Save.
The conversions in Program Input come from your Store Value Conversion rules. See Store Credit to set those up.
Referral transactions
Open Transactions → Referral. This lists refer-a-friend events: the referring member, the joined member, the merchant, the outlet, the referral program, and the gift amount that paid out. See Referral for how the programs are configured.
Void transactions
Voiding a transaction reverses it — the points, credit, voucher, or cashback are pulled back, and the record is flagged rather than deleted.
The sidebar has a separate Void transactions group that mirrors the live lists with void-only views: Sales Transactions, Loyalty Transactions, Membership, Loyalty, Stamp, Cashback, Voucher, and Store Credit. Anything you void — whether from a bulk action, an edit, or a POS reversal — shows up here. It's the audit trail for everything that was reversed.
Permissions
What you can see and do in the Transactions group is governed by your role. Without list permission on a record type you'll see a Permission Denied panel instead of the list, and the Create button only appears where your role has create permission.
