A. Login to Rewardly

When you have signup a Rewardly account, you should be able to login to Rewardly POS using your registered email and password.

B. About the Sell Screen

Sell Screen will be the screen that you will access to when using Rewardly POS. We made the screen as intuitive and efficient so that you have a sales companion that you can rely on. Let's familiarise the features on the Sell Screen.

  1. Menu allow you to access to different functionality in Rewardly POS
    1. New Sale - Making a sale transaction through this menu
    2. Orders - Access past sales orders, or pre-orders placed by customer here
    3. Notifications - Real-time alert for order status update
    4. Settings - Control panel for account setting, shift control, printer setup or invite new member
  2. Order control bar let user to change dining mode, find product or track orders
    1. Dining mode - Allow the user to choose between dine-in or take out mode
    2. Search - Allow the user to search product by name or product code
    3. Custom item - Allow the user to add item that is not in the menu
    4. Reload - Allow the user to resync menu and setting from the portal
    5. Order alert - Showing orders from web ordering, kiosk or delivery
  3. Product category toggle button change between category and product view for the ease of browsing
  4. Product quick key showing the product under a particular category, the user can tap to add the product to basket
  5. Tabs and member icon to manage multiple and link order with member
  6. Placeholder for the adding selected product
  7. Bill and discount management
    1. Discount allow the user to apply dollar or percentage discount to an order
    2. When added member to a transaction, the voucher button will enable if the member has voucher that they can use
    3. Click Pay button to proceed to the payment screen
    4. Delete the entire order by tapping recycle bin icon
Alert
Each register is design for single access. If there are more than one user login with same id and password the systems will disconnect the previous user session.
Warning
Concurrent user account access may result error and corrupted order data. Please setup individual user account to access from different POS devices

1. Start making a sale with Rewardly POS

i. Start a shift

Before start selling, Rewardly will prompt you to start a shift. The shift allow you to record all the orders within the session to simplify accounting and payment reconciliation. If you are integrating Rewardly POS with XERO, it will base on the shift to synchronise your sales data into XERO.

ii. Making a sale

  1. Tap the product to add to the basket. Or tap multiple time to adjust the quantity.
  2. Tap Pay button to proceed to payment screen
    1. Please login as merchant admin and setup a new payment type if there is no payment type option
  3. Choose the payment type to pay
    1. Enter the tender amount if customer not paying exact amount
    2. If the customer wish to pay with multiple payment, enter the amount and select payment type and repeat the steps until full amount is paid

iii. Browse orders history

You can view the past order at the order history page.
  1. Tap on Orders icon at the menu section
  2. Sales orders will display in the descending order by order date where recent sale will stay on top
  3. Use the predefined filter to narrow down the orders
    1. Order status display the status of order
      1. All - Display orders in all status
      2. New - Display new order from POS, Web or Kiosk
      3. Completed - Display order that has marked as fulfill
      4. Cancelled - Display order that has been cancelled by the user
      5. Closed - Display order that
                              
    1. Payment status display the payment status of the order
      1. All - Display all orders include unpaid order
      2. Pending - Display orders that is pending for payment
        1. Eg. When customer order through web but did not complete with payment, the order will show up as Pending
      3. Paid - All paid orders from POS, Web and Kiosk
      4. Partially Paid - Order that has partially paid
      5. Refunded - Paid orders that has been refunded
        1. For Rewardly Pay, Refunded status means the payment has also cancelled and refund to customer
                              
    1. Order Time
      1. All - Display orders of all time
      2. Yesterday - Display orders from Yesterday
      3. Today - Display orders of current day
      4. Tomorrow - Display orders for Tomorrow
        1. Only applicable to merchant who accept Pre-order
      5. This Week - Display orders in the current week
        1. Including Pre-orders fall within the current week
      6. This Month - Display orders in the current month
        1. Including Pre-orders fall within the current month
                              
    1. Channel
      1. All - Display orders from all channels including POS, Web, and Kiosk
      2. POS - Display orders from POS only
      3. Customer - Display order from web only
      4. Kiosk - Display order from Kiosk only
      5. Local - Display "Offline" order recorded when disconnected from Internet
                              
    1. Pre-order
      1. Display Pre-order to fulfil in the future date
                              

Idea
You can pre-defined order status when it is paid to align with your operation requirement.

iv. Managing an Order

You can manage the order status such as marking it as processing, packed or fulfilled. Or you can cancel the order and make a refund automatically. Rewardly POS allow you to notify the customer when you update the order status.
  1. Go to Orders menu
  2. Select the order that you wish to update
  3. Select the status to update
    1. Processing - When the order received by the kitchen and the staff start to prepare the food
    2. Packed - When the order has finished prepared and ready to dispatch
    3. Fulfil - When the order is being dispatched
  4. The are situation that the customer will request to cancel their order and get a refund
    1. Refund will cancel the order
    2. If the order is paid with Rewardly Pay or PayNow, it will initiate a payment refund to the customer automatically
  5. You can use the tool bar to manage or clone order
    1. Rewardly POS save your order locally and let you Sync Orders to the cloud later
    2. You can reload to get the most up-to-date orders
    3. You view all the orders within the same day with Intraday order dashboard
    4. You can scan the order QR code to retrieve web order



Warning
You cannot undo a refunded payment

Rewardly POS will automatically come with PayNow payment option, merchant is require to update their bank details for the payout

v. Apply Discount to the sale

You can give a discount to your customer quickly and easily. Rewardly POS offer 2 types of discount, by line item or the total bill.
  1. Line item discount
    1. Long press the item to toggle the discount window
      1. Amount - give discount by dollar value. Eg. $1 discount
      2. Percent - give discount by percentage. Eg. 5% discount
  2. Total bill discount
    1. Amount - give discount by dollar value.
    2. Percent - give discount by percentage.

vi. Receive order from web

You can sell online with Rewardly web to allow your customer to order items that you wish to sell online. Rewardly web order come with dine in, take out, or delivery.
  1. Accept online order
    1. Get visual and audio notification at the POS
    2. Auto print receipt and kitchen chit
    3. Trace order at order history

vii. Close Shift

Manage you accounting with Shift management
  1. Access to Setting Menu
    1. Enter the amount in the cash drawer if you are collecting cash
    2. System will show the total amount for integrated payment which do not need to calculate manually
    3. Click close register to end the shift
